DEFINITIONS

Academic Unit (AU) - There are four:

GU = Graduate/Undergraduate
LW = Law
MD = Medicine
DN = Dentistry

Action Line
The top line on every SIS screen where the appropriate data must be entered to access the screen desired.

BLDG
Refers to the two-character code that is required to access building information.

Career
Indicates if the student is a Graduate (G), Undergraduate (U), or Professional (P).

Classification
Indicates year of study, or other special classification of study.

Components
There are five components to SIS divided according to the number-level of the screens:

  • Shared Components (below 100-level)
  • Student Records (100-level)
  • Admissions (200-level)
  • Financial Aid (300-level)
  • Billing and Receivables (400-level)

Context (as "IN CONTEXT")
Accessing a specific screen and/or a specific student's record on that screen.

Course (CRS)
Refers to the course identification information that must be entered to access course/section-related screens.

Field
A data element or a specific space where data is entered.

Institution (INST)
"NC" is the institution for any screen requested in SIS.

Major
Two-, three- or four-character alphabetic code used to indicate a student's program of study.

Room
Refers to the four-character code that is required to access a room record.

School/College
The school or college in which the student is studying (e.g. AS = Arts and Sciences, ED = Education, etc.).

Screen
An assigned number related to specific information found in SIS-C. Screen 001 is the SIS Menu that lists the shared component screens as well as the other component menu screens.

SID
Refers to the Student Identification Number (PID) and must be in context to access student-related screens. This field is also used to enter the Instructor Identification Number (PID) to access certain scheduling related screens.

Stops
Flags set to restrict activity on student's records (e.g. registration restriction; registration, transcript and diploma restrictions).

Term
A three-character code indicating a semester or summer session and year. SIS uses a "YYT" structure where "YY" equals the last two digits of the year and "T" is one of the following semesters or summer sessions:

  • 9 = Fall
  • 2 = Spring
  • 3 = First Summer
  • 4 = Second Summer

LOGGING IN AND LOGGING OUT

On SIS-C

You need both your AIS/departmental login and password and your SIS operator ID and password.

  • You receive your AIS/departmental login and password from your departmental FACS coordinator. This login and password gets you on to the mainframe.
  • You receive your SIS operator ID and password from the SIS Coordinator's Office after you requested and been granted access to SIS (Student Information Systems). This allows you to access SIS-C and certain functions on Faculty/Staff Central.
  1. Open the mainframe/telnet session.
  2. Press 1 or 01 to access the Production Network.
  3. Enter your AIS/departmental login (5 letters) and password.
  4. Press the enter key.
  5. Press the enter key again to continue.
  6. Select the SIS-C option from your menu.
  7. Press the enter key.
  8. Enter your operator id (4 numbers) and password.
  9. Press the enter key.

You should now see a screen that looks like this:

On Faculty/Staff Central

To login to Faculty/Staff Central:

  1. Open your web browser, Netscape 4.7 or higher or Internet Explorer 5.0 of higher.
  2. Go to the UNC Homepage.
  3. Select "For Faculty and Staff."
  4. Under "Services," select "Faculty/Staff: SIS Access."
  5. Press the gray bar to login with ONYEN.
  6. Enter your ONYEN (your full email address up to the @) and your password (the one you use to access your UNC email account)
  7. Press Continue
  8. You should now see a screen that looks like this:

NAVIGATION

  • Use the home key to return your cursor to the SCREEN field.
  • You do not have to enter initial zeros in the SCREEN field.

For example, if you want to go to screen 017 to check a student's stops, you can enter either 017 or simply 17.

HELP FUNCTION

Use F2 (help function) when you need to know what values are acceptable in a field. Place your cursor within the field and press F2.

For example, if you are on screen 103 and you need to know the appropriate country abbreviation for a student's citizenship, you can tab your cursor down to the CITIZEN field and press F2. You will see a Help screen that looks like this:

Use the enter or return key to move forward through the list.

When you have found what you are looking for, you can leave the help function by pressing your CLEAR key or by typing a q in the "PRESS ENTER TO CONTINUE," then pressing ENTER.

NAME SEARCHES

On SIS-C

Go to screen 002 rather than 102, 202, 302 or 402 to do a name search for a more complete listing of search results.

You can narrow your name search by using the SEARCH KEY field on 002. After you have entered the student's name in the SID field (last name first name) and pressed enter, tab down to the SEARCH KEY field and enter more of the student's name for a better match.

On Faculty/Staff Central

In the Student Menu use the Student Search feature to find a student.

  1. Press GO.
  2. Enter the student's name in this format: last name (space, no comma) first name.
  3. Press SEARCH NOW.

In RAM, use the Name Search feature.

  1. Enter the student's name in this format: last name (space, no comma) first name.
  2. Press Go.

For searches done in both the Student Menu and in Ram, the system will return all the students who match that criteria. Pick the student whose record you wish to access by selecting from the radio buttons on the left.

PRINTING

For Faculty/Staff Central

If you encounter errors while trying to print admissions lists or course rosters from Faculty/Staff Central using Netscape, you may need to increase the memory cache on your browser. (Note: If you have problems printing using Internet Explorer, please contact your departmental computer specialist).

  1. Go to the Edit menu.
  2. Select Preferences.
  3. Click once on the + next to Advanced.
  4. Click once on Cache. On the right side of the window you'll see the item Memory Cache. The default setting for Memory Cache is 1024 KBytes.
  5. Highlight 1024 in the box.
  6. Type 5000 over the 1024 (or 10000 if you are trying to print class photos for more than 30 students).

Press OK.

You should now be able to print. Increasing the memory cache should not affect any of the other functions on your computer. If you continue to have problems printing, please contact your departmental computer specialist.

LOGGING OUT/OFF

For SIS-C

  • Log out/off of SIS-C by typing SO in the screen field or pressing your PAUSE/BREAK or CLEAR button. This sends you to a screen with copyright information.
  • Press enter one more time to get to your personal menu and then select 2 to log out/off completely.

For Faculty/Staff Central

Quit your browser completely to insure that no one else can retrieve student and course data with your access.
